1. Introduction
Alphavima Technologies Inc., together with its affiliated entities in Canada, the United States, the United Kingdom, India, and the United Arab Emirates (collectively “Alphavima,” “we,” “us,” or “our”), respects your privacy and is committed to protecting the personal information of everyone who visits our website at alphavima.com (the “Site”), uses our products and accelerators (including GiveLife365, Olix365, PREXA365, and PulseNet365), or otherwise interacts with us (collectively, the “Services”).
This Privacy Policy explains what personal information we collect, how we use and share it, the choices and rights available to you, and how you can contact us about our privacy practices. This Privacy Policy is a standalone document and is separate from our Terms and Conditions, which govern your use of the Site and Services.
We comply with applicable Canadian federal and provincial privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA), and, where applicable to individuals in other jurisdictions, with the EU/UK General Data Protection Regulation (GDPR) and other regional data protection laws.
2. Scope of This Policy
This Privacy Policy applies to personal information we collect through the Site, through our sales, marketing, and support interactions, and through the products and services we provide to our customers and partners. It does not apply to the internal employment records of Alphavima personnel or to information processed by third-party websites that we do not control, even if linked from our Site.
3. Information We Collect
We collect information about you only where we have a legitimate purpose for doing so. We may obtain information in three ways: (a) information you provide directly, (b) information we collect automatically, and (c) information we receive from third parties.
3.1 Information You Provide to Us
- Form submissions: information you submit when you request a demo, book a call, subscribe to our newsletter or mailing list, participate in a contest or survey, or submit a contact or support request, including your first and last name, business name, email address, phone number, website, and area of interest.
- Testimonials: if you authorize us to publish a testimonial about our products or services, we may include your name and other information you provide. We give you the opportunity to review and approve testimonials before publication. To update or remove a testimonial, contact privacy@alphavima.com.
- Interactions with us: records of your email, telephone, and chat conversations with our sales and customer support teams, which we use to improve our service to you and other customers.
- SMS/text message opt-in: your mobile number and consent preferences when you opt in to receive text messages from us (see Section 12, SMS Communications, below).
3.2 Information We Collect Automatically
- Device, browser, and server information: IP address, browser type, language preference, time zone, referring URL, date and time of access, operating system, and mobile device or network information, collected in our server log files.
- Cookies and similar technologies: we use first-party cookies, tags, and similar tracking technologies, together with Local Storage Objects (LSOs), to recognize returning visitors, remember preferences, and understand how our Site is used. We use Google Analytics to analyze browsing behavior and improve the Site. We do not use third-party advertising trackers. See Section 10 (Cookies) for more detail and how to control cookies.
3.3 Information We Receive From Third Parties
- Referrals: if someone refers you to Alphavima, the referrer may provide your name, email address, and related information. You may contact privacy@alphavima.com to request removal of referral information.
- Partners and service providers: our authorized reselling partners, event organizers, and marketing service providers may share your name, email address, company name, and related business information with us when you express interest in our products or attend a sponsored event.
- Public and social media sources: publicly available profile or contact information you share when you interact with us on LinkedIn, X (Twitter), Facebook, or similar platforms.
4. How We Use Your Information
We use the information we collect to:
- Communicate with you about our products, services, policy updates, or important notices;
- Keep you informed about new products, events, offers, and promotions that may interest you;
- Invite you to participate in surveys and gather feedback about our products and services;
- Set up, operate, and support your account and deliver the Services you request;
- Analyze how visitors and customers use our Site and Services to improve functionality and prevent misuse;
- Provide customer support and analyze support interactions to improve our responsiveness;
- Identify prospective customers and tailor our offerings to their needs;
- Analyze trends, administer the Site, and track visitor navigation for security and performance purposes; and
- Develop and improve our marketing campaigns and recommend relevant offerings.
5. Legal Bases for Processing
Where applicable data protection law requires a legal basis for processing, we rely on one or more of the following: (a) performance of a contract with you or your organization; (b) our legitimate interests, or those of a third party, provided they are not overridden by your data protection interests; (c) your consent, which you may withdraw at any time without affecting the lawfulness of processing carried out before withdrawal; or (d) compliance with a legal obligation, including to protect the vital interests of you or another person.
6. Your Choices
- Opt out of marketing: use the “unsubscribe” link included in our newsletters and marketing emails. You will continue to receive essential transactional and account-related communications.
- Cookie controls: you can disable cookies in your browser settings before visiting our Site, although some features may not function properly without them.
- Optional information: you may decline to complete optional (non-mandatory) fields in any form on our Site, and you may update or delete optional profile information at any time.
7. How We Share Your Information
We do not sell your personal information. We share information only as described below and only with parties who agree to appropriate confidentiality and security obligations.
- Alphavima group entities: our affiliated entities in Canada, the United States, the United Kingdom, India, and the United Arab Emirates may access information on a need-to-know basis to operate and support the Services.
- Employees and contractors: our personnel and independent contractors may access personal information strictly as needed to perform their duties, subject to confidentiality obligations and this Privacy Policy.
- Third-party service providers: we engage vetted service providers - such as marketing platforms, web analytics providers (e.g., Google Analytics), communications providers (e.g., RingCentral for SMS), event organizers, and payment processors - who process personal information only as necessary to provide services to us.
- Reselling partners: we may share information with authorized reselling partners in your region solely to follow up on products or services you have expressed interest in. You may opt out of continued contact with a partner at any time.
- Legal and safety reasons: we may disclose information where required by law, regulation, legal process, or governmental request, or where necessary to prevent fraud, investigate suspected illegal activity, enforce our agreements, or protect the safety of our users.
- Business transfers: if Alphavima is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction. We will notify you by email or a prominent Site notice of any change in ownership or in how your data is used.
8. Your Privacy Rights
Subject to applicable law, and regardless of where you live, you have the following rights regarding personal information we hold about you:

- Right to data portability: where applicable, request a copy of your information in a structured, commonly used, machine-readable format.

9. Data Retention
We retain personal information only for as long as necessary to fulfil the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law (for example, to maintain suppression lists, prevent fraud, resolve disputes, enforce agreements, or comply with tax and legal obligations). When information is no longer needed, we delete or anonymize it in our active systems; backup copies are retained securely until they can be safely deleted.
10. Cookies and Tracking Technologies
Cookies are small text files placed on your device to help us recognize your browser and improve your experience. We use the following categories of cookies and similar technologies on our Site:
- Essential cookies: required for core Site functionality, such as page navigation and form submission.
- Analytics cookies: used through Google Analytics to understand how visitors use our Site so we can improve it.
- Preference cookies: remember your settings and preferences to enhance your experience on return visits.
We use only first-party cookies; we do not permit third-party advertising trackers on our Site. You can control or disable cookies through your browser settings at any time; doing so may limit some Site functionality.
11. Service Data We Process on Behalf of Customers
When you or your organization use our products or engage us for technical support (“service data”), we process that data strictly on your instructions to deliver the relevant service - for example, using customer or employee details you provide to configure your Dynamics 365, Business Central, or accelerator environment (GiveLife365, Olix365, PREXA365, PulseNet365), or to generate reports or communications you request.
- Employees and contractors may access service data, on a restricted and logged basis, to identify, analyze, and resolve technical issues or to verify data you have submitted to us.
- Collaboration features in our products may display your name or profile information to other authorized users within your organization's environment.
- Where you enable third-party integrations within our products, the third party may access related service data; we encourage you to review that third party's privacy practices before enabling any integration.
- Where our mobile applications request access to device features (e.g., camera, contacts, location), such access is used only to provide the specific functionality you request, and you may disable this access at any time in your device settings.
12. SMS Communications
This section explains how Alphavima Technologies Inc. collects, uses, and protects your mobile information when you receive SMS (text) messages from us, sent through our service provider, RingCentral.
12.1 Purpose of SMS Communications
- Service updates or technical notifications;
- Appointment or meeting reminders;
- Security alerts, such as account-related notifications;
- Project status or billing updates; and
- Product news, tips, or event notifications, sent only with your prior consent.
12.2 Consent and Opt-In
By opting in through a web form or other medium, you agree to receive SMS messages from Alphavima related to the services you use. Message frequency varies, and message and data rates may apply. You may opt in by checking an authorization box, replying to an SMS, or providing consent during onboarding. No mobile opt-in or consent data is shared with third parties or affiliates for their own marketing purposes.
12.3 Opt-Out
You may opt out of SMS communications at any time by replying STOP to any message from us. After opting out, you will no longer receive non-essential messages, although critical service or security alerts may still be sent where necessary. Reply HELP for assistance, or email privacy@alphavima.com if you have trouble unsubscribing.
12.4 Information Collected and Security
We collect and store your mobile number, message delivery status, and, where necessary for support or record-keeping, message content. We do not use SMS content for profiling or third-party marketing. We apply role-based access controls, encryption in transit, and secure logging to protect this information, consistent with applicable laws including CASL, GDPR, and TCPA where relevant.
13. Children's Privacy
Our Site and Services are not directed to individuals under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that a child under 13 has provided us with personal information, we will take steps to delete it. If you believe a child under 13 has provided us with personal information, please contact privacy@alphavima.com and we will take appropriate action.
14. Data Security
We use administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, alteration, disclosure, or destruction. No method of transmission or storage is completely secure; if you have concerns about the security of your information, please contact us at privacy@alphavima.com.

16. International Data Transfers
Alphavima operates globally, with entities in Canada, the United States, the United Kingdom, India, and the United Arab Emirates. By using our Site or Services, or otherwise providing personal information to us, you acknowledge that your information may be processed, transferred, and stored in Canada and in other countries where Alphavima or its service providers operate, which may have data protection laws different from those of your home jurisdiction. Where required, we implement appropriate safeguards for such transfers, such as Standard Contractual Clauses.
17. Data Processing Addendum
To meet our obligations under the GDPR and similar regulations, we are prepared to enter into a Data Processing Addendum (DPA) based on Standard Contractual Clauses with customers who require one. To request a DPA, email privacy@alphavima.com and we will provide it for signature.
18. Do Not Track Signals
Some browsers offer a “Do Not Track” (DNT) feature. Because no common industry standard for DNT signals currently exists, our Site does not currently respond differently when it receives a DNT signal.
19. Third-Party Links
Our Site may contain links to third-party websites that are not covered by this Privacy Policy. We recommend that you review the privacy practices of any third-party site before providing personal information, as we are not responsible for the privacy practices of sites we do not control.
20. Blogs, Forums, and Social Media Widgets
We may offer publicly accessible blogs or forums. Information you post publicly may be viewed and used by others, and Alphavima is not responsible for personal information you choose to disclose publicly. To request removal of content you have posted, contact privacy@alphavima.com. Our Site may also include social media widgets (for example, LinkedIn or Facebook buttons); your interactions with these widgets are governed by the privacy policies of the companies that provide them.
21. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If changes materially affect your rights, we will provide at least 30 days' advance notice by email or a prominent notice on our Site before the changes take effect. Continued use of our Site or Services after the effective date of an update constitutes acceptance of the revised Privacy Policy.
